Job description Centre Administrator / Office Manager

Purpose:
Provide a professional, efficient and effective administration service to the General Manager and centre management team in order to facilitate the smooth running of the office and provide customers and brand partners with relevant information ensuring that all queries are followed through to satisfaction.

Key Accountabilities:

  • Provide a comprehensive administrative service for the General Manager and the team, such as managing the agenda, drafting correspondence, processing mail, preparing presentations within power point, organising travel, coordinate several meetings and producing minutes, to enable them to make effective use of their time and meet their commitments.
  • Monitor, review and update centre documentation and information, such as The Way Forward Document and conatct data trough CRM, to ensure that the information is accurate and current with the aim of continuously improving the support function within the centre.
  • Process and balance financial transactions based on an office budget, investigating any discrepancies and ensuring that all financial regulations and systems will be followed.
  • Manage the process to market research our visitor's origin and report to GM and Marketing.
  • Act as a point of contact for internal and external people wishing to contact the General Manager and the centre team, ensuring that queries are dealt with effectively, and taking the initiative to identify and handle issues that arise.
  • Where requested, induct new centre team members to ensure they understand how the centre office functions and how to use the systems and technology (including MGnet, magNet, MRI, telephones etc).
  • Proactively seek opportunities for opertional efficiency and suggest ways to improve customer service in terms of the business time and money and ensure the centre is operating as cost-effectively as possible.
  • Other tasks as required by the General Manager and the centre team.

Job requirements

  • Must be fluent in English and German, Dutch as mother tongue.
  • HBO standard or equivalent.
  • Several years of experience in an office based role.
  • IT skills: perfect in Word, Excel, Outlook and PowerPoint.
  • Competencies: Customer Focus, Communication and Listening, Team Work, Initiative, Flexible and Adaptable, Problem Solving, Stress tolerant.

Terms of employment

The maximum primairy salary is € 2500,- based on a 37,5 hours work week.
It's definitly a fulltime job.
